Your First 30 Days with Us: A Transparent Guide

Deciding to seek support for your child is a big step. Once you make that decision, there’s a lot happening behind the scenes that can sometimes lead families to think, “what is going on now?” The unknown can be a source of significant anxiety.

At Behavior Buffet LLC, we believe transparency is the first ingredient of trust. We want you to feel informed, prepared, and like a true partner from day one. So, let’s pull back the curtain and walk through exactly what your first 30 days with us will look like.

Here is our typical roadmap:

Phase 1: The Connection & Consultation (Days 1-7)

  • Day 1: You submit a Request for a Free Consultation through our website.
  • Within 48 Hours: You will hear directly from me, Dr. Lexy Silva Halpen, PhD, BCBA-D. This is not an automated email or call; my goal is to connect briefly to acknowledge your inquiry, answer any immediate questions, and schedule our full consultation call at a time that works with your schedule.
  • Within 7 Days: We have our Consultation Call (phone or video, your choice!). This is a 15-45 minute, no-pressure conversation. It’s for you to share your story, your hopes, and your concerns. It’s for me to explain our philosophy, answer your questions in detail, and see if we are a mutual fit. If it feels right for everyone, we can schedule the next steps right then and there.

Phase 2: The Assessment & Planning (Days 7-14)

  • The Assessment: We schedule a time for me to meet with you and your child, typically in your home or a familiar community setting. This is not a test; it’s a chance to observe, play, interact, and learn about your child’s unique strengths, motivations, and needs. It’s also a longer conversation with you to understand family routines, values, and specific goals.

Phase 3: Onboarding and the Green Light (Days 10-30)

  • Behind the Scenes – The Clinical Work: I analyze all the information to create a comprehensive, individualized assessment report and a proposed treatment plan. Simultaneously, I submit everything to your insurance provider for authorization.
  • Behind the Scenes – Building Your Team: While we wait for insurance approval (this timing varies by provider), I am not idle. I begin staffing and training your dedicated RBTs. I carefully select a clinician whose personality and style I believe will be a great match for your child and family. They are trained on our philosophy and prepared for your specific case before they ever walk in the door.
  • Insurance Authorization: Once we receive the green light from your insurance, I will contact you immediately.
  • Start of Services: With the team aligned, goals set, and trust established, we begin regular sessions. From your initial request to this first session, the entire process typically takes between 7 and 30 days, depending on insurance turnaround and family scheduling.
